邮件狂人——Tom

邮件是公司与客户最重要的沟通方式,邮件回复的速度与质量是评估一个业务员的核心指标之一。能够快速、准确、优质地跟客户沟通是我们外贸工作人员每天必修的课程。

Tom 身高1.78米,体重75KG,标准身材,样子俊朗,而且订单也非常多,所以特别受异性欢迎,经常见跟单部门的小MM不知道有意还是无意地都去找他讨教问题,其他男同胞特别眼红。但没办法,谁叫他单多人帅,被称为外贸圈里的高帅富呢。但我开始感觉他也什么特别的,也不去拜访客户,甚至展会也不参加,也不见他特别勤奋,但订单却源源不断,怎么回事呢?

经过慢慢熟悉,一起共事久了,加上我虚心请教,终于了解了一些他的方法。

方法一:客户积累,利用网络上的方法找到客户,以及展会上别人跟进没有回应的客户、公司留下来的客户等,反正有可能的潜在客户,一概放在邮箱里分别归类。

好的邮件才有好的回复,在这里再分享一下,在发送外贸邮件的时候,需要注意以下几点。

写信表达目的开头

  • We are now writing to you for…
  • We are willing to (shall be glad to)enter into business relation with your firm.
  • We wish to express our desire to establish business relation with your firm.
  • Our company is contacting you in hopes that you might be interested in new suppliers of high-quality,field-tested oil equipment and related services.
  • 非常简洁明了的标题。
  • 语言要简洁,多用短句,长句一定要分拆为短句,哪怕多写几句。
  • 语气要委婉,不要用you should know,you should,you must这类,也不要说什么your order is too small,换种语气,会非常好。
  • 多用被动语态。老外写邮件是很少用we,i之类的第一人称,通常都是用被动,比如,I WILL inform you tracking no. soon,老外会写the tracking no. will be supplied soon。
  • 段落之间的逻辑关系一定要清晰。
  • 有选择的情况下,不要用陈述句,要用选择句型。比如外贸人常用的our price is XXX for 2,000 pcs but it is XXX for 3,000 pcs Do you want to buy 2,000 pcs or 3,000 pcs?
  • 另外,就是在提出解决办法的时候,一定要用1,2,3……简洁明白地说出来,然后让客户选择,或者提问What is your idea or solution?
  • 注意中式英语,很多都是习惯问题,我们自己看得很明白,很清楚,但是老外就很难看懂。

注意邮件里面的字体、颜色等问题,一般老外都用Arial字体。

  • 称呼。有的人喜欢用hi my brother、hi boss、hi manager、dear sir等,这些不要所有的客户都用一种,要根据客户的反应来称呼,通常要一个客户保持一致,或者根据客户的年龄、性格等去区分,不能简单地就将所有的客户用同一个称呼。有的客户是Boss,有的是Manager,有的只是一般采购代表。在国外公司的邮件都是有监控系统的,在没有搞清对方身份或者爱好前,乱称呼是有风险的。
  • 注意多用详细的数据,比如多少数量、多少箱、多重、多少钱、PI号码、多少天数等,这类信息都是非常重要。
  • 多用感谢的话,多用问候,结尾不要一成不变地是have a nice day best regards,可以这样写:

祝你今天过得非常愉快!

祝你有一个美好的一天!

周末愉快!

针对客户的邮件多问客户一些问题,多用What do you think?What is your idea?

多跟客户套近乎,黏住一个客户是非常重要的事情,所以怎样跟客户做成朋友就非常关键了。这里,外贸行业有一个说法:不会跟客户“谈恋爱”的业务一定做不成一个好业务。所以,做外贸常常也是在跟自己的产品“谈恋爱”,跟客户“谈恋爱”。

  • 节日的问候,圣诞节一定要给客户发电子贺卡。平时其他一些重大节日也要问候客户。发生重大事件跟客户交流想法,比如冰岛火山、地震、海啸等,也要及时问候当地的客户。另外,自己公司的放假通知一定要提前传达给客户。
